Yes its on again!! Another exciting camp with new activities, some new instructors and more friends to make.
WHEN?
Sunday 15 April to Saturday 22 April 2018.
WHERE?
Bungendore Show grounds, Mathews Lane Bungendore. Enter via the second gate (just at the start of the dirt road)
WHO CAN ATTEND?
The 2018 Zone 16 Pony Club Camp (PC Camp) is open to all riding members of Zone 16 Pony Clubs and other Zone members if numbers permit. The PC Camp will be run under the rules of the Pony Club Association of NSW. The Camp Committee (refer above) reserves the right to refuse entry to any applicant registration.
NO RIDERS WILL BE ACCEPTED UNLESS HE/SHE 1S ABLE TO RIDE UNAIDED. (This does not include the led section which is only 2 sessions per day).
RIDERS LESS THAN 10 YEARS OF AGE:
For each rider less than 10 years of age an ADULT must stay with the child for the duration of the PC Camp.
AN OLDER SIBLING UNDER 21 ATTENDING THE PC CAMP IS NOT A SUBSTITUTE FOR AN ADULT.
An adult will be required to assist the rider in everyday PC Camp activities including:
- Saddling and unsaddling of their pony
- Feeding of their pony

RIDERS OF ALL AGES:
Riders MUST NOT be left unsupervised at the PC Camp grounds prior to Sunday 15th April 2018. Riders MUST have an adult with them until after vetting in is completed and after confirmation of troops. This will be approximately 4.00pm on Sunday 15th April 2018.
Adults are required to show riders the location of the showers, toilets, sanitary unit facilities, garbage bins and their dormitory prior to being left for PC Camp and reminded that the PC Camp is for everyone so the surroundings need to be kept clean and tidy. Dorms will be marked with appropriate age break up.
If camping, only family members are allowed to sleep in the camp site together. Surrogate parenting is NOT ALLOWED. AN OLDER SIBLING IS NOT A SUBSTITUTE FOR AN ADULT.
If there is no adult parent at the PC Camp, riders must be in the dormitories.

I WANT TO GET A REGISTRATION FORM?
The PC Camp registration form is attached below. Registration forms must be accompanied by a SIGNED Agreement Form and preferred veterinary permission form. Registrations will not be accepted unless the 3 forms are correctly completed. (Club secretaires are requested to assist in ensuring that registrations are signed.)

Please forward a correctly completed SIGNED registration form and a cheque (payable to your Pony Club) to your Pony Club Secretary by the date they advise you.
WHEN CAN I COME TO THE PC CAMP?
All riders & their horses will be admitted to PC Camp between 10.00 am and 12.00 noon on Sunday 15th April 2018. Upon arrival to the PC Camp grounds proceed to the CHECK IN AREA (large shed in the middle of the yards). A check of all horse/yard requirements will be at 12.00pm
I’M GOING TO BE LATE?
Late arrivals will be admitted after 12 noon but prior notice in writing is to be provided on the registration form. Upon arrival to the PC Camp grounds proceed to the CHECK IN AREA. A check of all horse/yard requirements will be arranged.
WHEN DOES THE HORSE SOUNDNESS & GEAR CHECK HAPPEN?
At 2.00pm, all riders need to be mounted ready for the horse soundness and gear check.
DON’T CHEAT YOURSELF BY BORROWING GEAR TO PASS – YOU ARE RISKING YOUR SAFETY.
IS IT COMPULSORY FOR A PARENT TO STAY WITH THE RIDER THROUGHOUT THE HORSE SOUNDNESS AND GEAR CHECK?

WHEN DOES THE HORSE SOUNDNESS & GEAR CHECK BE COMPLETED?
At approximately 4.00pm. Parents may then leave their riders to the care of the PC Camp Committee.
IS CAMP A GOOD PLACE TO BREACK IN NEW BOOTS AND NEW TACK?
We strongly suggest that the best gear to bring is that which you use everyday when riding and attending Club Rally Days, the items which you and your horse are used too and are comfortable with. There will be situations where your gear just wears out before camp and needs to be replaced so sometimes this is unavoidable. If this happens to you please try and break in those items as much as possible before Camp. Camp is no fun if you have blisters from new boots!!
ABSENCE DURING CAMP
If you want to or are required to leave the PC Camp PERMISSION MUST be obtained from the
CAMP COMMANDANT. This especially applies if you are removing your child from the dorm, it is not fun phoning parents when we realise the child is missing. It is imperative that parents who are unable to attend when their children leave at the end of camp advise the Camp Commandant of the transport arrangements that have been made.
WILL ANY CERTIFICATE WORK BE UNDERTAKEN?
It is important that you note on the registration form the certificates that are currently held as riders will have the chance to gain the next level. The Chief Instructor will aim to incorporate the K certificate into the PC Camp. Applicants must be working on their certificate activity work books/sheets at a club level and bring them to camp for sign off.
HOW WILL MY HORSE BE CARED FOR?
All horses will be fed daily and individually yarded. Feed that will be provided will include the following:
- WHEATEN CHAFF
- LUCERNE CHAFF
- LUCERNE HAY
- MEADOW HAY
All other additives that your horse requires must be supplied by the rider.
To ensure that horses are fit and used to hard food it is essential that riders start feeding their horses chaff etc. at least 3-4 weeks prior to the camp.
Your Pony Club instructors should be able to advise you regarding correct feeding measures. Only one horse per rider will be admitted to camp. All horses, including instructors’ horses will be inspected on arrival and any doubts on fitness will be assessed by a soundness inspection.
Horses inadequately shod (i.e. it is likely the shoes will not last the full camp) will be refused admission. The only exception will be ponies that are not normally shod.
DO NOT BRING YOUR HORSE IN A CONDITION WHERE IT COULD BE REFUSED.
Chaff will be distributed for morning and evening foods and hay at lunch and evenings. The hay is a standard biscuit of hay so if you horse requires more it is advisable to bring extra
Sawdust for bedding will be supplied. Alternative bedding, such as rice husks, can be purchased through local suppliers. Arrangements can be made through Steve Hughes at the “Bungendore Feed Shed” (6238 0900) for drop off when he brings out the Camp Feed supply on the first Sunday.
CARE OF RIDER
Each day riders will be under the direct supervision of instructors who will attend the camp to give daily instruction and supervise the riders in the field. As in previous years, several mothers stay with the girls and fathers with the boys in the dormitories. Minor ailments will be attended to by these as well as by a qualified First Aid Officer who will be at PC Camp for the duration.
Whilst everything is done to ensure the safety of the members and every care will be exercised by those in charge of the camp, the PC Camp Committee and it’s officers are not responsible in any way for any sickness or accident which may happen or occur through any source whatsoever, and it is clearly understood that each member will only be admitted to attend the camp on this clear understanding, and that the parent/guardian by signing the application form agrees to indemnify the camp and it’s officers against any claim by reason of accident/sickness or otherwise.
In the event of an emergency, a sickness or injury of a rider he/she will be taken to the Queanbeyan Hospital. Ambulance charges can be quite severe and it is strongly recommended that families ensure adequate cover by an ambulance fund scheme is available. The ACT Ambulance Fund also covers you for service in NSW. Should your child have the need to be transported by ambulance you, of course, would be immediately contacted in such a case. Please complete the authorisation on the application form.
WHERE DO I STORE MY TACK
Tack is stored in your float. If you do not have your own float, talk to other members of your club to see if they have room for your gear.
CONDUCT
ALL RULES OF THE PCA OF NSW AND THE PC CAMP MUST BE ADHERED TO. FAILURE TO DO SO WILL JEOPARDISE THEIR STAY AT THE 2018 PC CLUB CAMP AND ANY FUTURE CAMPS.
RIDERS – NO ALCOHOL OR DRUGS ARE PERMITTED
To ensure riders and parents are aware of what is expected of them during camp we have included the rules of camp and PCANSW Code of Behaviour. Please ensure that you read these and sign the form stating that you have read the information and agree to the conditions and return with your entry.
HORSE YARDS
All of the yards at Bungendore are steel. There should be no need to extend your yard. If the Commandant gives approval to extend star pickets must be capped. Yards will be safety checked on Sunday15th April before the end of the day to allow yards to be repaired to the satisfaction of the camp committee. 5ft Star pickets are the minimum size to be used as those any smaller can not be driven deep enough to survive your Pony leaning on them. Posts can get very very loose by the end of camp and be a real hazard to your horse

THERE ARE A FEW IMPORTANT POINTS TO NOTE ABOUT THE ABOVE EQUIPMENT.
- All horses MUST have a rug as they are in small yards at night. Nights can get cold and of course it may rain. Rugs are to be WATERPROOF.
- Riders should have at least two saddle cloths -IN CASE OF RAIN.
- Two gallon buckets (Trug Tubs) are NOT adequate for holding horse water. 60 litre plastic garbage bins are recommended for water bins and can be secured to the yard fence. Feed buckets should be robust enough to last as the horses will play with them at night.
- Most yards only have a single chain at the top of the entrance. This needs to be supplemented by a suitable additional rope or gate. More details in the Camp Fools Guide.
- No extensions to yards required or allowed.If your horse has escaped or is known to escape from rope yards then please use suitable solid materials. NOTE: Electric fence wire or tape cannot be used, active or inert. Rope of at least 7mm thickness to be used for yard extensions – no electrical fence twine or tape as this WILL break or wear through – it is a long Camp!!The Commandant will provide a “Fools Guide” to Camp in early 2018. This is designed to give more details of how things happen and handy hints.
HOW CAN I HELP?
Volunteer. We are all volunteers and we do need people who can provide support during the day in making the Camp happen. We all want to see our kids , but without extra assistance the willing few don’t get the chance and naturally are less inclined to put up their hand the following year. The following is a list of Day worker positions you can assist with when filling in the volunteer form. Note that some of these tasks do require heavy lifting, so if you are unable to do this please do not nominate as we do not want to exacerbate a condition, nor is it fair on others.
Parents of riders are required to make themselves available for their club rostered day, (this is a 24 hour period) advice will come from your club secretary on your allocated day once registration is closed.
NOTE: Nominating as a Helper does not guarantee you will be allocated a job as we may get too many for a particular task. Please nominate jobs in preference.
WORKING WITH CHILDREN CHECK
Have you completed your Working With Children Check registration and presented your registration number to your club secretary, you will not be allowed to assist at camp without if this check has not been completed and registration sighted.
HELPERS:
- Area Assistance – Separate from the Feed Crew. Assist in clearing and distributing of bins into the rubbish skip (10:30 AM daily – although some flexibility with times). Team also supports changes to arenas e.g. re-setting of show jumps before first session / after last session and general assistance to Commandant in checking yards, water points and equipment. Also involves grooming of arenas where required.
- Feed Shed – attend the feed point for the morning and afternoon feed allocations (approx 6:30 AM and from 5 pm). May require some lifting of the chaff bags and hay bales. Assist in the mid week hay / lucerne top up run. Also assist in the bin runs.
- Kitchen. Assist the Cook, Mike, all week in the preparation of meals, drinks and morning and afternoon teas. This team is supplemented by extra help from rostered Clubs, but also provide continuity to make everything flow smoothly. 6AM start with times arranged to allow helpers to see their kids ride. A door keeper to check meal passes and collect casual meal fees will be selected from within this group or the area assistance team.
- Cleaners. Cleaning of toilets and showers and refurbishment of appropriate materials.
- First Aid.
